Privacy Policy

Last updated: 1 October 2026

dejikami helps people understand and complete Japanese government and administrative forms. This policy explains what we collect, why we use it, and how long we keep it. dejikami is an assistance tool, not a government filing or identity-verification service.

Information we process

  • Account information: email address, display name, Firebase sign-in identifier, organization membership, and notification preferences when you create an owner account.
  • Form definitions: uploaded source pages, extracted fields, translations, explanations, source authority/version metadata, and review history created by form owners.
  • Submission information: answers, signatures, and optional attachments entered by a filler. This may contain sensitive identity, family, employment, tax, immigration, or financial information.
  • Operational signals: form opens, help requests, official-source handoff clicks, submission/output events, aggregate organization analytics, and cleanup/delivery run metrics. These signals are designed not to include answer values or document bytes.
  • Optional communications: email, push, or LINE notification data only when the relevant channel is configured and enabled.

Why we use information

  • to authenticate owners and enforce organization permissions;
  • to digitize, translate, explain, review, render, and deliver a source-faithful form;
  • to provide the requested draft, PDF, notification, or official-portal handoff;
  • to prevent abuse, rate-limit requests, troubleshoot failures, and monitor cleanup/storage health; and
  • to improve the service using aggregated operational metrics.

We do not use submission answers, signatures, or attachments for advertising. We do not sell them.

Retention and deletion

  • Submitted answers, signatures, attachments, and generated PDFs are intended to expire and be hard-deleted after 24 hours, subject to the cleanup job and any short operational delay.
  • Pre-submit drafts and their optional attachments expire after seven days.
  • Form definitions, source provenance, review history, organization records, and privacy-safe aggregate metrics may remain while the account or shared template is active.
  • Local browser drafts remain on the user's device until cleared or removed by the browser. Use the clear-data control on shared devices.

Service providers and locations

Depending on the enabled feature, processing may involve Railway/PostgreSQL and a private Railway S3-compatible storage bucket, Firebase Authentication, OpenRouter for configured AI digitization or translation, email delivery providers, Google Analytics/Firebase Analytics after consent, ZipCloud for postal lookup, and optional LINE or push-notification services. Current production storage uses a private Railway Bucket in the Singapore region; files are served through the API and the bucket is not public. Provider regions and subprocessors must be reviewed before a sensitive pilot or procurement commitment.

Cookies and analytics

Essential session functionality may use browser storage. Optional marketing analytics load only after the cookie-consent choice is accepted. Declining non-essential analytics does not prevent form completion.

Your choices and requests

You may stop using a form, clear local drafts, unlink optional notification channels, or ask the form owner to remove a shared template. For account or privacy requests, contact hello@dejikami.jp with enough information for us to identify the request. Do not email passwords, identity documents, signatures, or form answers unless an approved support process specifically requests them.

Important boundary

Translations and explanations are assistance, not legal advice, eligibility determinations, official certification, or a guarantee that an authority will accept the output. Always confirm the current source, required attachments, deadline, identity requirements, and accepted submission method with the issuing authority.

Changes

We may update this policy when the service, providers, or retention behavior changes. The effective date above will change with the policy.
